Offboarding triggers from the termination record in Workday. Access removal is immediate and automatic; data handling follows a scheduled sequence that respects retention policy. Managers have exactly two responsibilities — everything else is handled.
Automatic timeline
- T+0 (termination effective): all sessions revoked, sign-in blocked, VPN and badge disabled — within one minute
- T+0: mailbox converts to shared, delegated to the manager for 90 days
- T+1 day: OneDrive contents transferred to the manager with a link
- T+30 days: licences released back to the pool
- T+90 days: mailbox delegation ends; content archived per retention policy
- T+180 days: account object deleted after final retention check
Manager responsibilities
- Confirm the device return — the portal tracks courier collection for remote staff; escalation to payroll happens automatically at T+14 if unreturned
- Review the transferred OneDrive within 90 days and move anything the team needs to a shared location
Urgent terminations
For terminations with a security dimension, HR marks the record accordingly and the same automation runs immediately rather than at end of day, with the SOC notified in parallel. Do not pre-announce the termination in any system — the automation is fast precisely so that no manual head start is needed.
